Planning a trip means trusting us with some personal details, and we take that seriously. This page explains in plain English what we collect, how we use it, who we share it with, and the choices you have.
Who we are
TBD Vacations is a team of independent travel advisors serving West Michigan and Florida. We work remotely and are affiliated with our host agency, KHM Travel Group. When this policy says “we,” “us” or “our,” it means TBD Vacations.
What we collect
When you use our Contact Us form, we receive what you type in:
- your name (required)
- your email address (required)
- the type of vacation, or where you’d like to go (required)
- anything you add under “Tell us more” (optional)
- how you heard about us (optional)
- the name of a TBD Travel Advisor you’re already working with (optional)
That’s all the form asks for. It also notes which page of our site your message was sent from.
As we plan your trip, we keep the trip details you share with us (such as dates, destinations, who is traveling and your preferences) and anything you send us later by email.
Only when it’s time to book, we ask for the details a booking requires, such as each traveler’s full legal name, date of birth and passport information. We collect these only when they’re needed to book your trip. Please don’t send them through the contact form.
How we use your information
We use your information only to reply to you and to plan and book your trip. That includes passing your message to the TBD Travel Advisor you name.
We never sell or rent your information
We never sell or rent your personal information. We don’t add you to marketing lists unless you’ve said yes.
Who we share it with
We share only what a booking requires, and only with:
- the travel suppliers for your trip, such as cruise lines, resorts and hotels, airlines, tour operators and travel insurance providers
- our host agency, KHM Travel Group
- the booking and quoting tools we use to research, price and book trips
The companies that host our website and email also handle your message as it’s delivered to us. We may also share information if the law requires it.
Cookies and what our website loads
- Visitors: if you’re simply browsing, our website doesn’t normally set any cookies on your device.
- Logged-in users: WordPress, the software our site runs on, sets cookies only for people who log in to manage the site (our team). Our pages don’t offer comments.
- Contact form: our form doesn’t set cookies. Its plugin keeps simple counts on our own website, such as how often the form is viewed and sent. Those counts don’t include what you type.
- Images: our site loads pictures as you scroll and serves lighter image formats when your browser supports them. This doesn’t use cookies.
- Fonts: our fonts are hosted on our own website, and no third-party font service is used.
- Server logs: like most websites, our hosting provider may keep standard technical logs, such as IP addresses and the pages requested, to keep the site secure and running.
- No analytics or ad tracking: we don’t use analytics or advertising trackers. If we ever add analytics, we’ll update this policy first.
Our Facebook link is a plain link. We don’t use a Facebook pixel, “Like” buttons or embedded posts. Once you click through to Facebook, Facebook’s own privacy policy applies.
How long we keep it
We keep your information only as long as we need it to help you, to look after trips you book with us, and to meet our business, accounting and legal obligations. After that, we delete it. Travel suppliers and our host agency keep their own booking records under their own privacy policies.
Seeing, correcting or deleting your information
To ask to see the information we have about you, correct it, or delete it, email us at . We’ll reply as soon as we can. If we need to keep some details from a completed booking for legal or accounting reasons, we’ll tell you.
Keeping your information safe
We take reasonable steps to protect your information and share it only as this page describes. No website, email or online system is completely secure, so we can’t guarantee absolute security.
Children’s privacy
Our website is meant for adults planning travel, and we don’t knowingly collect information from children through it. When a trip includes children, we get their details from the adult booking the trip, and only as the booking requires.
Changes to this policy
We may update this policy from time to time. When we do, we’ll change the effective date at the top of this page.
